This is a career-defining opportunity to join the Office of the COO within a ground breaking global organisation, playing a pivotal role in ensuring the COO's time is fully optimised to lead effectively across the business.
About the Role:
As EA you will be an integral part of the Office of the COO, developing a trusted 1:1 working relationship with the COO and their Executive Operations Partner. You will be responsible for managing complex operations, building relationships across all levels of the organisation, and serving as the COO's eyes and ears on the ground.
This is a true partnership role requiring exceptional organisational skills, strategic thinking, and the ability to anticipate needs and proactively resolve issues before they arise. You will work closely with senior leadership both within the organisation and with external partners, fostering a culture of collaboration whilst acting as a key point of contact for the COO.
Key Responsibilities:
- Develop and maintain a trusted 1:1 working relationship with the COO and their Executive Operations Partner
- Expertly manage the COO's complex and dynamic schedule across multiple time zones, anticipating needs, resolving conflicts proactively, and ensuring timely execution of key tasks
- Travel with the COO and on staff trips as required
- Provide project support and partner with the Office of COO on internal and external engagement
- Gather and synthesise information, proactively connecting the dots across the organisation
- Anticipate and proactively resolve issues, exercising exceptional problem-solving and sound judgement
- Support key meetings including circulating agendas, capturing notes and actions
- Prepare materials and communications on behalf of the COO
- Build strong, trust-based relationships across all levels of the organisation and with external partners
- Support operational tasks and processes, suggesting ideas for continuous improvement
- Finance administration including expenses management
About You:
- Previous experience working with C-suite leaders in global organisations
- Proactive approach with excellent judgement and discretion, able to determine appropriate next steps and problem solve independently
- Highly organised with a proven track record in juggling multiple tasks, prioritising effectively and with impeccable attention to detail
- Adapts quickly to change and thrives under pressure
- Comfortable with ambiguity and able to anticipate problems with care
- Great teammate, solid communicator and active listener, passionate about supporting and enabling senior leadership
- Excellent diary management experience, knowing how to make the most of every day whilst staying flexible when priorities shift
- Extensive experience using Google Suite and other productivity enhancing tools
- Acts with total discretion and diplomacy, remaining calm even in stressful situations
- Naturally curious, asking questions to build knowledge and thinking multiple steps ahead
- Expert at managing stakeholder relationships by adapting communication style and content to align with varying audiences, needs and contexts
