Executive Assistant / Chief of Staff

New York City (FIDI)  |  $120,000–$150,000+ base salary + benefits  |  4–5 days in office  |  Permanent

 

We are working with a highly respected New York City real estate law firm to find an exceptional Executive Assistant and Chief of Staff to support the Partner leading their busy Residential Real Estate department.

This is not a traditional EA or paralegal role. It has been created for someone who understands how NYC residential real estate transactions work, from contract through closing, and is ready to step into a broader, more strategic position with real operational ownership and visibility.

The Role

You will be the Partner's trusted right hand, taking ownership of communications, client relationships, workflow coordination and day-to-day operations. You will act as the primary point of contact for clients, brokers, lenders, title companies and referral partners — managing the flow of a high-volume practice with professionalism and precision.

As much as this role is operational, it is also relational. The firm has built its reputation on exceptional client service, and you will be instrumental in maintaining and elevating that standard across every interaction.

Key Responsibilities

  • Manage and prioritise email communications, client requests and daily workflow on behalf of the Partner
  • Serve as the primary liaison between the Partner and clients, brokers, lenders, attorneys, title companies and referral sources
  • Provide timely, accurate and professional updates to all stakeholders throughout the transaction lifecycle
  • Monitor residential purchase, sale and refinance transactions from contract through closing, identifying and resolving potential delays
  • Independently handle matters that do not require attorney escalation, exercising sound judgement
  • Support CRM management, case management, document management, calendaring and workflow systems
  • Assist with business development, marketing initiatives and referral source engagement
  • Identify opportunities to improve internal processes and enhance service delivery

What We're Looking For

  • Prior experience working within a NYC residential real estate law firm — this is essential
  • Strong working knowledge of residential purchase and sale transactions, and familiarity with banks, brokers, lenders, title companies and attorneys
  • Exceptional communication and relationship-building skills — polished, responsive and client-focused
  • Outstanding organisational ability and attention to detail in a fast-paced, high-volume environment
  • A proactive, strategic mindset — someone who creates structure, solves problems and drives efficiency
  • Proficiency with Microsoft Office and legal technology platforms; experience with CRM and case management systems
  • Availability to work onsite in FIDI 4–5 days per week
  • Residential real estate paralegal background and/or exposure to business development or legal operations is a plus

Package

  • Salary: $120,000–$150,000+ depending on experience
